This Privacy Policy explains how the Akeye project and the website akeye.app handle personal data. Akeye is currently being prepared as a B2B software platform for organizations such as companies, clubs, associations, sports organizations, facilities and service providers.
Akeye is not intended for public self-registration by end users. In normal use, user accounts and personal records are created and managed by the organization that uses Akeye.
This document is provided for transparency while Akeye is in an early commercial and product validation phase. Before Akeye is offered under a formal company or commercial agreement, this document may be updated with additional legal and company information.
1. Roles under data protection law
Depending on the context, Akeye may have different roles:
- For website visits, contact requests, support communication, demo requests and technical operation of akeye.app, Akeye may act as a data controller for the limited data it collects directly.
- For data entered into the Akeye platform by an organization, the organization is normally the data controller and Akeye acts as a data processor.
This means that if your data was entered into Akeye by a club, company, association or other organization, that organization is responsible for informing you about the use of your data and for handling your privacy requests. Akeye processes such data on behalf of that organization.
2. Data collected directly by Akeye
Akeye may process limited data that you provide directly, for example when you contact us, request information or communicate with us:
- name and surname;
- email address;
- phone number, if provided;
- organization name;
- message content;
- technical data such as IP address, browser information, server logs, error logs and security events.
3. Data entered by organizations
Organizations using Akeye may enter data about their own users, staff, members, athletes, parents, guardians, guests, tenants, customers, suppliers or other persons. Depending on the use case, this may include:
- identification and contact data;
- user account, role and permission data;
- relationship data, such as parent, guardian, employee, member, athlete, guest or customer;
- unit, team, group, facility, room, vehicle or property data;
- activity, reservation, task, training, service, maintenance and operational records;
- notes, messages, attachments, statuses, attendance, scores or progress data;
- health or medical information, only if the organization chooses to enter it.
The organization is responsible for ensuring that it has a valid legal basis for entering and processing such data.
4. Purposes of processing
Akeye may process personal data to:
- provide and operate the Akeye platform;
- create and manage user accounts created by organizations;
- enable role-based access and permissions;
- provide support and respond to messages;
- maintain security, prevent misuse and troubleshoot errors;
- send service-related messages such as account activation, password reset and operational notifications;
- improve the reliability and functionality of the service;
- comply with legal obligations where applicable.
5. Legal bases
Where Akeye acts as a controller, processing may be based on legitimate interests, performance of a requested service, consent where required, or legal obligations.
Where Akeye acts as a processor, the organization using Akeye is responsible for defining the legal basis for processing.
6. Cookies and similar technologies
Akeye may use necessary cookies or similar technologies required for website operation, login, security and service functionality.
If analytics, marketing or other non-essential cookies are introduced, additional information and consent options will be provided where required.
7. Service providers
Akeye may use trusted service providers for hosting, infrastructure, email delivery, security, monitoring, development, support or similar technical purposes. These providers may process data only as needed to provide their services.
Current or planned providers may include cloud hosting, DNS/security infrastructure and transactional email providers such as Microsoft Azure, Cloudflare and Resend.
Akeye does not sell personal data.
8. International transfers
Where possible, data is stored and processed in the EU/EEA. If data is transferred outside the EU/EEA, appropriate safeguards should be used, such as adequacy decisions, Standard Contractual Clauses or other lawful mechanisms.
9. Retention
Akeye keeps personal data only for as long as necessary for the purpose for which it was collected, for service operation, security, support, legal compliance or as instructed by the organization using the platform.
Data entered by an organization is retained according to that organization's agreement, instructions and configuration. Backup data may remain for a limited period before deletion according to normal backup cycles.
10. Security
Akeye uses appropriate technical and organizational measures to protect data, such as access controls, authentication, role-based permissions, encrypted transport, logging, backups and least-privilege access.
No system can be guaranteed to be completely secure. Organizations using Akeye are responsible for managing their own users, roles, permissions and entered data.
11. Your rights
Depending on applicable law, you may have rights to access, correct, delete, restrict or receive your personal data, object to processing, withdraw consent and lodge a complaint with a supervisory authority.
If your data was entered by an organization, please contact that organization first. Akeye will assist the organization where required.

12. Children and minors
Akeye is not intended for direct self-registration by children. Organizations such as sports clubs or associations may enter data about children or minors. In those cases, the organization is responsible for the required legal basis, notices and consents.
13. Changes
This Privacy Policy may be updated as the Akeye project, platform, company structure, providers or legal requirements change. The latest version will be published on akeye.app.
